Please note: Before reading this guide, be sure that you have read the How to Create a Custom Group guide.


1.  Click on Broadcasts Icon from the dashboard, and then click New Broadcast button.



2.  Select the type of broadcast to deliver:

  • Select Email to send a regular email blast to a patient group.  Please note that you should not include sensitive information such as Personal Health Information using this method.
  • Select Secure Notification to send email that is requires validation before showing sensitive information.
  • Select Portal Broadcast for feature rich content that is displayed in the patient's dashboard within the Portal.  Sensitive information is acceptable for this communication type, and the message content can be edited or removed after sending.



3.  Email and Secure Notification will broadcast to patients using email communications.

A) Type in a name for the email broadcast and click on Let's Get Started to continue.


B) The option menu at the top right corner allows you to Delete this broadcast.  If you have already conceived a previous campaign and would like to copy the same settings, then click on Duplicate.  Otherwise, expand the Settings bar to continue.


C) Settings:

  • The name of the broadcast is copied over in the appropriate field.  Edit if necessary.
  • The drop down menu allows you to pick a category that is appropriate for this communication.  Useful for statistics and reporting.
  • If you would like to send this broadcast at a specific date and time, click on the little calendar to select.


D) Content:

  • As you type in content of your communication, notice the preview on the right side of the window.
  • In the Subject header, please write in a convincing teaser.
  • Enter your message in the Content area, and use formatting tools available.
  • Embed an image for a compelling story by clicking on the Primary Image icon as circled below.  See Upload Media below.
  • If the Primary Image embedded can be linked then type in the website in Primary Image Link.
  • Type in a Call to Action such as "Contact the Clinic for More Information."
  • If the Call to Action has a link to a website, then enter it in the Call to Action Link.
  • Save Content to commit.


  • Upload Media Tab:
    • Drag your picture into the open space in the window.
    • Go to the Media Manager Tab.



  • Media Manager tab:
    • Click Insert button on the picture you want embedded in the communication.



E) Audience:

  • Primary - If your audience is from a primary patient group, then please note that this may be an unfiltered group and you may be sending irrelevant information to some individuals.  In this example of a PAP campaign, if you choose a primary patient group, you maybe broadcasting PAP screening information to people that already have had their test completed within 3 years or to even men if that option has not been unchecked.  Generally, the primary patient group is for non specific audiences conveying vacation alerts, office hours, newsletters, and is typically delivered using the regular email method type.  See Primary Audience Window below.
  • Custom - in this example, the secure notification method type is best suited for sensitive information such as PAP screening.  See Custom Audience Window below.
  • Select the Patient Group(s) intended as recipients.
  • Filter gender and age if applicable.
  • Option to Include Unregistered Patients in this Broadcast, but beware of privacy policies applicable to your region.
  • Click on Save Audience to commit.

F) Send:

  • Click Send Me a Test Email to preview the email broadcast in your personal email before sending to the masses.
  • Click Send Broadcast to commit.



4.  Portal Broadcast will display your message when the patient logs into the Portal.


A) Type in a name for the portal broadcast and click on Let's Get Started to continue.


B) The option menu at the top right corner allows you to Delete this broadcast.  If you have already conceived a previous campaign and would like to copy the same settings, then click on Duplicate.  Otherwise, expand the Settings bar to continue.



C) Settings:

  • The name of the broadcast is copied over in the appropriate field.  Edit if necessary.
  • The drop down menu allows you to pick a category that is appropriate for this communication.  Useful for statistics and reporting.
  • If you would like to send this broadcast at a specific date and time, click on the little calendar to select.
  • If you would like to end this broadcast sooner or later than the default 2 months expiration, then click on the little calendar to select.



D) Content:

  • As you type in content of your communication, notice the preview on the right side of the window.
  • In the Subject header, please write in a convincing teaser.
  • Enter your message in the Content area, and use formatting tools available.
  • Embed an image for a compelling story by clicking on the Primary Image icon as circled below.  See Upload Media above in step 3(D).
  • If the Primary Image embedded can be linked then type in the website in Primary Image Link.
  • Type in a Call to Action such as "Contact the Clinic for More Information."
  • If the Call to Action has a link to a website, then enter it in the Call to Action Link.
  • Pick and choose where this broadcast will be displayed in their Portal.
  • Save Content to commit.
