The clinic appointment type should be considered an appointment template as multiple providers can apply this template to their personal schedule.  All settings in these templates are copied over to the provider's personal schedule when activated.  On their own, clinic appointment types do nothing. 


Clinic Appointment Type:

  • In Settings, go to Schedules, then click on Clinic Appointment Type.
  • Click on New Appointment Type.



  • Title is displayed to the patient during e-booking.
  • Fill in the fields and click Save Changes to commit.



  • General Settings:
    • Choose an appropriate Duration for this appointment type.
    • Check the box if a Reason is Required.
    • The Display to Patient box will enable/disable this appointment type.
    • Check the box to Send Reminder.
    • Post Booking Description will appear to the patient after their e-booking submission.
    • Pre Booking Alert will appear to the patient before their e-booking submission.
    • The Requires Clinic Review box corresponds to the Individual Provider Configuration Form, where office staff will be given the chance to approve, decline, or edit the appointment request.
    • The Send Confirmation At Time of Booking box corresponds to the Individual Provider Configuration Form, where the confirmation notification is sent to the patient immediately at time of booking or requires review first.
    • Enter Cancel Alert message if appropriate. eg.  You will be subject to a fee if you cancel this appointment. This overrides the same setting in Schedules.
    • Enter a number in Cancel Alert Hours that will Show Cancellation Alert When Cancelling Within X Hours of Appointment.  This overrides the same setting in Schedules.
    • The Confirmation Content is a customized message that will appear in the confirmation notification email to the patient.
    • The Reminder Content is a customized message that will appear in the reminder notification email/sms to the patient.
    • Set the Location for this appointment type.
    • Click Save Changes to commit.



  • Advanced Settings
    • Check-in field will adjust the appointment reminder time so that the patient will arrive earlier by x minutes.  This overrides the same setting in Schedules.
    • The Require X Months Since Last Appointment is currently not in use.  However, it will be a control mechanism for special appointments such as physicals that can only be booked once per year.
    • If Requirement Is Not Met, then the two options are Reject or Warn.  This is linked to the setting above.
    • External ID for this appointment type is currently not in use.
    • The Is Virtual box corresponds to this appointment being either a phone appointment or a video conference where the patient will not be shown the location of the clinic.
    • Click on Save Changes to commit.
